 IMPORTANT INFORMATION FOR LETTING YOUR PROPERTY

Before letting your property you should first gain permission from your mortgage lender, if applicable, and your insurance company.

You will remain responsible for insuring the building, and any contents that you leave.  Tenants are responsible for insuring their own possessions during their tenancy.  We are able to offer professional mortgage and building insurance advice.

Current legislation requires that a Gas Safety Certificate, if applicable, is in place.  This should be renewed yearly.  An Electrical Safety Check should also be carried out on the property and any applications remaining at the property.  This should be done at the start of each tenancy.  Safety checks will need to be carried out by qualified technicians and a certificate of safety issued. We will advise on, or arrange if necessary.

As an added safety measure we recommend that at least one smoke detector is installed at the property.

In our experience most tenants prefer unfurnished properties.  This also avoids any risk of breeching current Fire Safety Regulations.  It does not however decrease the rental value of the property.  Any upholstered furnishings should carry the current fire safety label to confirm that they comply.  Any such items that do not carry this label will need to be removed from the property.

Smart Property Management is available to give free, independent advice on renting your property and a free rental assessment.

We will place your property on our rental availability list, advertise it in local papers and contact all prospective tenants.

 

Tenancy Agreements

The tenancy agreement that we will prepare will be an Assured Shorthold Tenancy for a minimum of six months.  A tenancy of this nature gives you two months notice should you wish to end the agreement.  The tenant must give one months notice to vacate the property (this must be done in writing on the rent due date).  Both parties sign the agreement and each will receive a copy, we will also hold a copy on our files.

Deposits

We will require the tenant to provide a deposit equal to six weeks rent.  If we manage your property we will hold this in our separate deposit account (no interest accrued on these monies).  If you manage the property yourself we will hold the deposit as a stakeholder.  We will send you the first months rent, along with copies of all relevant paperwork, at the start of your tenancy.  At the end of the tenancy this deposit will be returned to the tenant providing there is no damage, debt or dilapidation to the property.  Normal wear and tear cannot be charged to a tenant.

Rent Payments

We will collect the first months rent and deposit in cleared funds on the day the tenant moves in.  Rent will always be due on the date that the tenancy begins, payments are always due in advance.  If we manage your property subsequent rents will be paid direct to us.  We then forward the rent direct to your bank or building society, less our fees and any maintenance charges.  We provide you with a monthly statement.  We will monitor rent payments and will advise both you and the tenant if their rent is overdue.

If we do not manage your property we can provide a rent collection service.

Inventories

It is in your interest that you have a complete inventory of your property and its fixtures and fittings at the start of each new tenancy.  If we manage the property we will prepare this for you as part of your management package.  However if we do not manage your property we can prepare this document for you at a charge of 25% of one months rent + VAT, for unfurnished properties and 40% of one months rent + VAT for furnished properties.

Full Management Service

Smart Property Management offers a comprehensive management service:

  • Advertising for, vetting and selecting suitable tenants.

  • Accompanied viewings to properties.

  • Obtaining satisfactory references.

  • Preparation and signing of all necessary documentation.

  • Regular visits to the property, with a report to the landlord.

  • Collection and holding of deposits.

  • Monthly rental statements.

  • Compiling of inventory at the commencement of each tenancy, and updating as required.

  • Checking tenants into and out of the property.

  • Taking meter readings and inform all utilities of changes of tenancy.

  • Settlement of maintenance invoices from rent received.

Charges for Full Management

£150.00 + VAT to be paid at the start of each new tenancy.

From then on for each month we will deduct a management charge of 12% + VAT.  These fees will be deducted from the rent we collect, and the balance will then be forwarded direct to your bank.

If your property is vacant between tenancies we can arrange for regular inspections to take place, keeping you within your insurance responsibilities.  (Please advise us if this situation should arise), price to be agreed, depending on location and number of visits required.

Your insurance may become invalid if an unoccupied property is left unchecked for more than 14 days.

To produce new tenancy agreements for existing tenants £15.00 + VAT .

Tenant Information Only

This is a one off fee of half of one months rent + VAT which is due at the start of each new tenancy.

Extra Services Available

To produce new tenancy agreements for existing tenants £40.00 + VAT.

Compilation of an inventory, and the checking in and signing of documents with the tenant on the day they move into the property.

          25% of one months rent for unfurnished properties + VAT

          40% of one months rent for furnished properties + VAT

We strongly recommend that if you are not employing us to prepare your inventory, that you compile one yourself.  This protects your interests when you come to check out the tenants at a later date.
